The agreement between your congregation and MLJ, SASU covering the PewRoster scheduling service, written to be read by a church administrator rather than by a lawyer.
1. Acceptance of these terms
These terms form the contract between MLJ, SASU, publisher of PewRoster, and the organization that opens an account, referred to here as the customer or your congregation. You accept them by creating an account, by paying a subscription, or by using the service in any way. If you are agreeing on behalf of a church, a parish or a nonprofit corporation, you confirm that you are authorized to bind that organization. If you do not accept these terms, do not use the service.
2. What the service does
PewRoster is a web based volunteer scheduling service for congregations. It lets a coordinator define serving teams and service times, store volunteer availability and blackout dates, generate and publish a serving roster in advance, send reminders by text message and email, allow volunteers to release and claim slots between themselves, record background check and training expiry dates, and export or print the resulting schedule. The service is delivered over the public internet through a browser. It is a scheduling and communication tool: it does not perform background checks, it does not verify the accuracy of the clearance dates you enter, and it does not replace the safeguarding policy your congregation is responsible for maintaining.
3. Accounts and eligibility
An account may be opened by an organization or by an individual acting for one, in either case aged 18 or over. You are responsible for the accuracy of the information you enter, for keeping coordinator credentials confidential, and for every action taken under your account. You are responsible for informing your volunteers that their contact details are held in the service and for holding whatever consent your own policy or local law requires.
4. Acceptable use
The service is provided for scheduling the volunteers of your own congregation. You agree not to use it to send unsolicited commercial messages, fundraising appeals unrelated to a serving assignment, political campaigning, or any content that is unlawful, harassing or defamatory. You agree not to resell or sublicense access, not to attempt to gain access to another organization's records, not to probe or test the security of the platform without written permission, and not to copy the service in order to build a competing product. Automated collection of pages or data outside the documented export tools is not permitted. We may suspend an account that puts the platform or other congregations at risk, and where possible we will contact you before we do.
5. Subscriptions and billing
PewRoster is sold on three monthly plans in United States dollars: Small Congregation at $19 per month, Parish at $49 per month, and Multi Campus at $99 per month. Each plan includes the volunteer, team and campus allowances published on the pricing section of the home page at the time you subscribe. Charges are billed monthly in advance on the calendar day matching the date the subscription started, and they renew automatically each month until cancelled. Prices are shown exclusive of any sales tax or duty that may apply where your organization is established. If you move to a different plan during a billing period, the difference is prorated to the day. Applicable taxes, if any, are added at billing.
If a payment fails, we retry it and write to the billing contact. Access continues for 14 days after a failed payment so that a treasurer has time to act, after which the account may be suspended. Suspension does not delete your data. We may change published prices with at least 30 days notice sent to the billing contact, and a price change never applies to a period already paid for.
6. Cancellation
You may cancel at any time from the billing page inside the application, without giving a reason and without contacting anyone. The subscription then stops at the end of the monthly period already paid for, and we do not refund part months. There is no exit fee and no notice period. After cancellation your schedules stay readable for 30 days so that you can export the roster history, the swap log and the volunteer list, after which the congregation record and its message logs are deleted. We may terminate an account for a serious or repeated breach of section 4, in which case we will give you a reasonable opportunity to export your data unless the law prevents it.
7. Your data stays yours
Your congregation owns the volunteer records, schedules, availability information and messages that you put into the service. We act as your processor for that content and use it only to operate and support the service. We do not sell it, we do not rent it, we do not share it with advertisers, and we do not use it to train machine learning models. You can export it to CSV at any time. Aggregated statistics that cannot identify a congregation or a person may be used to describe how the service performs, and the numbers published on this website are produced that way. Personal data collected through the public website is described in the privacy policy.
8. Availability and support
We aim for 99.9% monthly availability and we publish incident notes when we miss it. Planned maintenance is scheduled between Monday and Thursday, outside United States Sunday morning service hours, and is announced in advance inside the application. Support is provided by email on every plan, with same business day replies on Parish and Multi Campus. Delivery of text messages depends on carriers that we do not control, so we cannot guarantee that a specific message arrives at a specific minute, and the printed Sunday sheet exists precisely for that reason.
9. Warranty disclaimer
The service is provided as it stands and as it is available. Beyond the commitments written in these terms, and to the fullest extent permitted by applicable law, we make no other warranty, express or implied, including any implied warranty of merchantability, fitness for a particular purpose or non infringement. We do not warrant that the service will be free of every defect, that every reminder will be delivered, or that the roster it generates will suit every pastoral judgment. The coordinator remains responsible for reviewing a published schedule. Nothing in this section limits rights that cannot be excluded under the law that applies to you.
10. Limitation of liability
To the extent permitted by law, our total liability arising from or connected to the service in any twelve month period is limited to the amount you paid us for the service during that period. We are not liable for indirect or consequential loss, for loss of goodwill or reputation, for loss of contributions or attendance, or for the consequences of a serving slot that went uncovered. Nothing here excludes liability for fraud, for willful misconduct, or for any liability that cannot lawfully be excluded.
11. Indemnity
You agree to hold MLJ, SASU harmless against third party claims arising from the content your congregation puts into the service, from your use of the service in breach of these terms, or from a failure to obtain a consent your own policy or local law required. We will tell you promptly about any such claim and will not settle it without consulting you.
12. Changes to these terms
We may update these terms to reflect changes in the service or in the law. Material changes are announced at least 30 days in advance by email to the account contact and inside the application. Continuing to use the service after a change takes effect means you accept the revised terms; if you do not, you may cancel under section 6 before the effective date and no further charge will be made.
13. Governing law and jurisdiction
These terms are governed by French law. The parties will try in good faith to resolve any dispute directly before starting proceedings. Failing an amicable settlement, the competent courts of Paris, France have exclusive jurisdiction, including in the case of multiple defendants, urgent proceedings or protective measures.
